The Opportunity:
Picarro is looking for a detail oriented, process driven, and high energy Sales Administrator for our Worldwide Science/Industrial Instrumentation business unit. experienced in supporting value-driven sales and working with a technical Outside Sales team. Your support will help the company achieve sales volume and revenue goals, while helping to promote efficient selling for the whole organization. The individual will need to be meticulous and accept ownership of their role to be a high functioning part of our team.
Responsibilities
  • Front Desk - Answer phones, greet clients
  • Plans and coordinates internal and external meetings serving as point of contact
  • Takes notes, tracks appointments for Director of Sales and Marketing
  • Assist Sales Director and VP with sales-related information tracking
  • Successfully utilize Sales system for sales reporting, order tracking, and customer research
  • Provide sales analysis and reports as needed
  • Pipeline, FCST and sales orders data entry into NetSuite Sales system
  • Development of marketing ideas for future sales and events, generate Sales leads
  • Manage tradeshow inventory, orders, and shipments
  • Assist in preparing various media, including flyers, brochures, postcards, and ads, using existing company designs/templates
  • Prepare forms for sales reviews
  • Coordinate schedules and practical arrangements
  • Performing administrative support as needed (managing calendars, booking travel, scheduling facilities and equipment, database maintenance, preparing presentations)
  • Ensure the reduction of administrative issues through continual monitoring and improvement of sales flows and processes
Qualifications
  • Major in business, communications, marketing, public relations or other related field preferred; Sales Operations experience preferred
  • Requires excellent communication and team-oriented operating style
  • Effective and strong interpersonal skills that allow successful business interactions with individuals of all leadership styles, personalities, and career levels and be able to support
  • Prioritize workload effectively with demonstrated excellent organization skills and the ability to organize thoughts and ideas
  • Superior attitude toward colleagues and the ability to maintain positive working relationships
  • Engaged team player, focused on individual team goals and results; Works well individually and within a team
  • Ability to effectively handle multiple tasks simultaneously and is detail oriented while working in high pressure situations and a professional manner

  • Proficient with navigating sales management tools
  • Proficient in the use of Microsoft Office, advanced Excel skills
  • Must be willing to work overtime hours as needed
  • Occasional travel required to support meetings and marketing activities
  • Must be responsible, reliable, flexible
  • Fluent in English
  • Excellent verbal and written communication skills, good research skills and attention to detail
